KevinAI

Your practice's senior judgment, on demand — grounded in your knowledge library, and it reads your client documents. Decision support: a credentialed human makes the final call.

Ask me anything about how we handle returns, clients, or tricky situations. I answer from documented knowledge and live practice data — and I can now search and read client documents: try “find the 2025 W-2s we're missing” or “what's on [client]'s 1099?”

How it works

Answers are grounded in the Knowledge library — your practice's processes, precedents, style, and dos & don'ts. The more your senior practitioners teach it, the sharper it gets. Every Q&A is logged.

Knowledge Library

Everything your practice teaches TaxApp lives here: processes, precedents, case notes, style, dos & don'ts.

Audit Log

Every change to every record — including deletions. This history cannot be edited by anyone.

🔐 Full client-book export

Requires BOTH the owner and a superadmin, each entering their own password. No single person can export the book alone.

Billing & Usage

Plan, seats, and payment — the money mechanics. (What TaxApp costs to run, and AI spend, now live under Insights → Costs, per the Aug 2026 IA restructure.)

💳 Plan & seats

Plan: Founder — all modules on · Seats: – active. Saved cards, auto-pay, invoice history, and add-a-seat land here with Stripe billing — payment details will live with Stripe, never in TaxApp.

Integrations

Firm-level connections — everything TaxApp plugs into, in one place. Personal connections (your calendar, your Fathom) live on your Profile.

📗 QuickBooks Online

Read-only access to the books — profit & loss, balance sheet, customers, invoices and payments will feed the Accounting module and Insights. TaxApp never writes to QuickBooks.

🎙 Your Fathom

Personal connection — your recorded meetings, including solo ones nobody else can see, link automatically to the right client and feed KevinAI. This mirrors the Fathom card on your Profile; connecting or disconnecting here updates both.

🤖 Doc autopilot

Every upload classifies itself and checks off the client's expected-docs list. When the last expected document lands, TaxApp can move the client to In prep on its own — or just suggest it on the dashboard.

🔏 Close approvals

Which completed close steps need a second person's sign-off? The preparer can never confirm their own work either way — this only decides how many steps queue for review.

🔐 Sign-in alerts

Every sign-in is checked against the person's known devices and approximate locations. Unrecognized ones always land in the audit log — this decides whether the person also gets a "was this you?" alert with a one-tap lockdown.

Also running at the firm level

🎙 Fathom meeting sync · 📆 Google Calendar OAuth · ✉️ Transactional email — configured server-side and running. Per-person connection status rolls up on the dashboard's integrations widget; health details land here in a future release.

Bookings

Meetings booked through your public page — your hours, your rules, automatic confirmations. The day-to-day grid lives on Calendar.

Open public page ↗
WhenGuestTopicWithStatus

Set your hours and personal link on Availability. Guests book at taxapp-velocity.netlify.app/book.html — known client emails auto-link to their file and a prep action item lands on your list.

Availability

Your public link, weekly hours, office days, rules and date exceptions — everything that governs what guests can book.

Leads

Website form submissions, straight into your pipeline — assigned, tracked, converted.

Received Lead Source Message Status Assigned

Every velocitytax.io and thetaxapp.io form lands here the moment it's submitted — the team gets a push too. → Client links an existing client by email or creates the file.

🧭 Accounting — the Cockpit

Every client's close on one screen — SLA-tracked, control-gated, human-signed. The close that can't be wrong.

A monthly close can't be signed until every account ties to $0 with a workpaper, material variances carry a written explanation, every required step (including P&L and balance-sheet review) is done, and the signer is a credentialed reviewer who didn't prepare the work — all enforced on the server, not in this screen. The sign-off is immutable; reopening requires a logged reason. AI proposes and flags; it posts nothing and signs nothing. Closes are auto-opened monthly and SLA-swept every weekday morning.

Requests & Checklists

Build expected-docs lists and chase what's still missing — per client or across the whole book.

Bulk doc checklists

Build every active client's expected-docs list from last year's documents in one pass — uploads check themselves off and Doc chase runs itself.

One client's checklist

A client's expected-docs checklist lives on their own record, alongside their documents.

Documents

Every file for every client and the firm — one searchable home.

Recent documents

The most recent files across every client you can see. Click one to open that client's own documents.

In the build queue

Coming soon

Planned: a full global document browser (filter by client, type, year, status), a company area for templates and SOPs, drop-a-file-anywhere uploads that classify and file themselves into the right client folder, and smart archival of prior years — compressed for cost, searchable forever.

Proposals

Estimate the work, price it right, send it for signature — start to signed.

In the build queue

Coming soon

Planned: a cost-estimator wizard (drop in the client's data, answer a few questions, see what the engagement will cost you and what to charge), team collaboration on the draft, AI-suggested pricing, an approval gate, e-signature sending, and a pipeline view with close rates. A signed proposal auto-provisions the engagement.

Extensions

Every extended return tracked to the finish line — nothing slips past a deadline.

In the build queue

Coming soon

Planned: extension status per client per year, automatic countdown and chase items ahead of the September and October waves, a deadline board, and KevinAI answers to "who's extended and still hasn't filed?" Filing statuses on the Clients module feed straight in.

Sales

From first contact to signed engagement — pipeline, proposals, and the numbers behind them.

In the build queue

Coming soon

Planned: the full sales pipeline with your leads at its core (the Leads module moves in here), proposal hand-off, funnel stages from inquiry to signed, close rates, and deal values — so growth stops living in someone's head.

Until then, Leads keeps running right next door.

Marketing

Your book at a glance — the revenue already sitting in your client list.

Your book by segment

Where the fastest revenue lives. Solicitable = tax-prep outreach permitted (name / email / phone / entity only). Portal + consent = non-tax offers surface inside the client's own portal with §7216 consent — never a cold email using tax data.

Offers

Define an offer, then (next) attach it to a segment. Non-tax offers default to the client-portal + consent path; tax-prep offers can be emailed using permitted fields.

Loading offers…

Next in the build queue

Coming soon

Coming next: attach an offer to a segment and build the target list, KevinAI-drafted outreach with a compliance check, one-click approve-and-send, the client-portal "you're not using this" cross-sell surface, and hook → lead → client attribution.

Organizers

Client questionnaires that gather the year's facts and documents — before anyone has to chase.

In the build queue

Coming soon

Planned: firm-designed organizer templates per return type, sent to clients each season; answers and uploads flow straight into the client file, auto-classify, and clear their doc-chase items. Pairs with the Design studio for building the templates and the Phase 2 client portal for filling them out.

Design

One studio for everything the firm puts its name on — organizer templates to letterhead.

In the build queue

Coming soon

Planned: a template designer for client-facing documents (organizers, engagement letters, request lists) and a brand studio for firm collateral — business cards, letterhead, social graphics — with your logo, colors, and fonts baked in. Reachable from Tax (templates) and Sales & Marketing (brand) because it serves both.

👥 People records

Contacts, pay, birthdays, contracts. 🎂 Birthdays and 🎉 anniversaries post to All Hands each morning and show on the 📆 calendar automatically.

Imported from the Monday Employee Details board (2026-07-06), including former staff. Contract PDFs are also archived in the project folder; 📄 links point at Monday until the Documents module lands.
